As a Program Support Specialist for Department of Justice (DOJ) contracts, the candidate will support the Project Supervisor and a Team Lead through administration, coordination, and customer service oriented tasks, as assigned. The successful candidate will work in a fast paced environment that requires team interaction and excellent communication and interpersonal skills. While most of the work is carried out within a team environment, the candidate may be called upon to assist other members of the team, and at other times work independently on complex projects/tasks and assignments.
Under the guidance of a Team Lead, the Program Support Specialist will be the point of contact for the OJP Solicitation manager and coordinate all aspects of the review according to the established peer review schedule and deliverables. Duties include tracking and disseminating deliverables and reports in accordance with schedules and milestones, coordinating and scheduling orientation calls with the DOJ customer and their staff, and responding to questions from the customer and reviewers.
Responsibilities include but are not limited to:
Interfacing with DOJ staff to coordinate, schedule, and manage peer review activities.
Supporting the general Peer Reviewer email box to respond to queries, nominate reviewers to the Peer Review Database.
Assisting with virtual and in-person peer reviews.
Serving as Point of contact and engaging with subject matter experts – providing assignments, communicating the schedule(s) and deliverables, creating and delivering required forms, monitoring completion forms, coordinating consensus calls with staff and reviewers, and providing customer service and monitoring work activities.
Perform other peer review related tasks such as reviewer searches in the Peer Reviewer Database, initial interest outreach to approved reviewers, and perform Basic Minimum Requirements screening (BMR).
Support various program auditing tasks (e.g. self-audits; upload audits)
Participating in regular process improvement and quality initiatives and other projects/tasks as assigned.
Demonstrated customer service in a high volume, deadline driven environment.
Strong written, and oral communication skills that translate in a proficient and professional manner with employees/clients/customers.
Excellent organizational skills and attention to detail.
Effective judgement concerning confidential or sensitive information.
Ability to work independently, as a self-starter, and within short timeframes
Excellent interpersonal skills
Flexibility and the ability to manage shifting schedules and priorities.
Strong computer, Microsoft Office Suite skills (especially Excel and Word).
Ability to obtain public trust designation.
Required: BA degree and 3+ years of prior grants management/peer review or other relevant experience, or Masters with less than 2 years of prior relevant experience. An AA degree with 2+ years of relevant peer review/grants management work experience may be considered.
Education and or experience in the criminal justice field or related discipline.
Experience in Federal grants management / peer review process.
