The Administrative Assistant II (Personnel Assistant) will be providing all office support to the OA for both contractor and government staff, including the effective management of the mail distribution and office supply center, full support of Leidos and Pilot Training Coordinator, and all other general support, including personnel and travel.
This tasking equates to a full time responsibility that will be located at the main on-site Alliance Facility.
• The administrative assistant will serve as the Facility Security Officer (FSO) and manage all personnel security activities, including clearances and as the Human Resources representative
• The administrative assistant serves as facility security officer (FSO) and manage all personnel security activities, while also working with OA's security officer and the Leidos Shared Services Center to ensure all TAOMSS personnel, subcontractors, and vendors have the proper security clearances; the two personnel assistants will share the role of training coordinator and will coordinate all non-pilot training activities
• Personnel assistants support all personnel actions such as maintaining personnel records
Requires high school diploma or equivalent and 2 - 4 years of prior relevant experience.
Answer and direct phone calls
Organize and schedule appointments
Plan meetings and take detailed minutes
Write and distribute email, correspondence memos, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system
Update and maintain office policies and procedures
Order office supplies and research new deals and suppliers
Maintain contact lists
Book travel arrangements
Submit and reconcile expense reports
Provide general support to visitors
Act as the point of contact for internal and external clients
