Job Description:

The Government Assistant Secretary for Preparedness and Response (ASPR) - Strategic National Stockpile (SNS) Group currently has an opening for a Jr Management Analyst to work in our Washington DC office. This is an opportunity to provide analytical support services and administrative support to assist in operating and maintaining the SNS inventory. In this mission we ensure that our customer inventory is ready for deployment, providing them the ability to respond during an emergency. Successful candidate will provide program support to facilitate Government -Contractor operational support and to maintain a high level of performance. This position is contingent upon contract award

Primary Responsibilities

Collect and analyze relevant risk management information. Communicates between ASPR and DSNS customer. Coordinate risk management activities, to include program research and analysis, documentation gathering, and reporting. Maintains customer confidence and protects operations by keeping information confidential. Completes projects assigned by leaders' on or ahead of schedule. Prepares reports by collecting and analyzing information. Tracks meeting actions and assists leaders' with assigning actions to appropriate subject matter expert. Works to assist customer project manager teams with the coordination of resources, equipment, meetings, and information. They organize projects with the goal of getting them completed on time and within budget. Maintains Division Meeting Tracking Sheet to ensure all meeting requests are fulfilled for leaders' and Division Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures. Prepare quality draft documents and process flow charts. Communicate relevant and accurate information, clearly and concisely during formal or informal meetings. Collaborate with others to accomplish goals. Use various enterprise tools and technology to prepare and share documents. Provide essential support such as arranging meetings, taking notes, responding to routine inquiries. Other administrative duties including division project tracking, meeting minutes, and maintenance, answering phones, photocopying, and coordinating report submissions. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Conserves leaders' time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications. Maintains leaders' appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.

Knowledge of procedures for use of various standard office equipment such as telecommunications, faxes, copiers, manual or automated files

Basic foundation of administrative concepts, principles and practices sufficient to perform independently duties involving eliminating conflict and duplication of work

The ability to work both independently and as a team member

Strong relationship-building and diplomacy skills

Broad knowledge of the mission, function and practices of Department of Health and Human Services, Department of Homeland Security, and Centers for Disease Control and Prevention preferred

Knowledge of the regulations, policies and procedures outlines in the Federal Response Plan preferred

Exercise initiative and independent judgment in resolving problems encountered during the completions of assignments

Ability to efficiently plan, organize, and coordinate a variety of activities

Ability to communicate effectively, both written and oral

Strong analytical and problem solving skills

Strategic and creative mind set to enhance and increase operational effectiveness

Carry (and respond to) a cellphone at all times

During disaster response and recovery phases of disaster management, be able to function for prolonged periods of time under austere, and highly stressful conditions

Employee may be assigned to a call schedule which will limit travel and may result in short notice recall to an assigned work area for prolonged period of time

Physically able to perform occasional strenuous activities, including ability to lift, push, pull, and carry up to 50 lbs during site visits and deployments

Ensure professional appearance, and good working relationships are established and maintained with officials and other key contacts to promote effective emergency response and coordination

Work effectively under the pressure of interruptions, short suspense deadlines, and unanticipated priority demands

Basic Qualifications/Education

BA degree or equivalent experience and less than 2 years prior relevant experience.. Experience may be substituted in lieu of degree.

Preferred Qualifications

Previous experience supporting government agencies.
