Job Description:

Are you interested in improving and shaping the transportation industry? Leidos is the lead for USDOT's research and development of new technologies to improve the safety, operation, and efficiency of the nation's transportation system. We're looking for an Administrative Assistant / Proposal Coordinator motivated by variety and enjoys taking ownership, self-teaching, and leading critical administrative tasks necessary for efficient lab operations.

Leidos operates FHWA's Saxton Transportation Operations Laboratory (STOL) in McLean, VA, with over 35 projects defining the future of transportation and connected and automated vehicles. We're looking for a motivated and detailed professional to efficiently execute administrative tasks, coordinate proposals, support Project Managers meeting documentation requirements, and support the Lab Manager in maintaining facilities to support a diversity of technical projects. Some of the cutting edge projects and technology the team works with includes: a fleet of vehicles with automated driving systems, infrastructure with wired and wireless communications to support a variety of existing and prototype hardware, climate-controlled garage, lab space for the testing of hardware, and office space to enable engineers to operate most efficiently.

The successful candidate will be required to support the organization in day-to-day operations as well as proposal development teams in response to both STOL Task Order Requests for Proposals and larger RFPs. The role requires the development of calendar driven deadlines and an ability to assign clear, specific tasks to others with associate accountability. A strong candidate will possess the ability to see connections across topics areas as well as have the ability to generate documentation (or other formal output) based on bullet points or other limited data from topic area experts.

This position provides diverse job functions, including but not limited to:
• Conduct office administrative tasks in an on-site customer facility
• Research tool acquisition and associated financial adjudication
• Coordination of all STOL archival records (e.g., past deliverables, calendars, schedules, etc.)
• Handle telephone contacts (both inbound and outbound) about program in a professional manner
• Manage and maintain Leidos Sharepoint and team collaboration tools
• Oversee the development and maintenance of proposal schedules, including major milestones such as due date, final content review, color reviews, and production of finished proposals
• Maintain proposal plans to ensure the feasibility and appropriateness of schedules, and perform change management on the effort, as required
• Develop and/or disseminate existing proposal development tools and templates to support the process
• Maintain adherence to proposal schedules and ensure that all team members meet established deadlines
• Track and report program activities
• Work on assignments that are routine in nature while also developing solutions to improve efficiency and performance
• Must be willing to learn technical data, operate and work in a Technical Research environment

Requirements:
• A minimum of High School diploma with 4 years' experience (College degree may be considered in lieu of experience).
• Proficient in Microsoft Office, Outlook, Word, PowerPoint, and Excel
• Experience with SharePoint or other similar team collaboration tools
• Ability to obtain and maintain a Public Trust clearance
• Valid US Driver's License
• Must possess excellent written and verbal communication skills
• Strong organizational skills
• Ability to translate the customers' needs and requirements from an RFP or Statement of Work (SOW)
• Enjoys multi-tasking, diverse work, and quick completion
• Interested in a transportation lab environment, building solutions transforming transportation
• Ability to support lab manager in maintaining clean equipment and facilities
• Ability to see the connections, manage interdependencies, and foresee and mitigate potential issues

Preferred:
• Prior experience with Department of Transportation or Surface Vehicle research
• Knowledge of connected and automated vehicles and the transportation industry
• Prior experience supporting and working on Proposal teams
• Familiarity with business development operations
• Experience with Software Programming
