Leidos is looking for a top-notch/polished Administrative Support Specialist to support executives and high-ranking government officials for one of our federal agency customers in Washington, DC.

Primary Responsibilities:

The Administrative Support Specialist will provide assistance and perform a wide variety of administrative support functions for executives. 

This work includes but is not limited to the following:

  • Answering phones and managing telephone communications.
  • Routing and managing correspondence to/from the office.
  • Managing the schedules of multiple high-ranking government officials.
  • Coordinating meetings with high-level DOJ officials as well as high-level stakeholders at other federal agencies.
  • Assembling (in hard-copy or digital format) reports, correspondence, pleadings, briefs, communications, and other materials; among other duties. 
  • Assist and support the office(s) in performing the following functions.  This list is not all-inclusive as the contractor may be requested to provide support and assistance in other areas.
  • Telephonic communication management (including answer calls, taking messages, routing calls, placing calls, arranging conference calls, and other duties).
  • Correspondence management (including managing “approval packages” for the Assistant Attorney General (AAG), routing various communications, and related functions).
  • Calendar management (including scheduling meetings, arranging meeting logistics, inviting attendees to meetings, assembling meeting materials, and similar duties).
  • Time and attendance management (to include entering hours worked, adjusting hours, managing leave, etc. for OAAG staff in DOJ’s automated time reporting system).
  • Travel management (to including making/changing travel arrangements, seeking appropriate authorizations, and vouchering for expenses post-travel, all in DOJ’s automated travel management system).
  • Other administrative duties, as assigned.

Basic Qualifications (Required Skills):

  • Excellent written and oral communication skills.
  • At least three years word processing experience.
  • At least one year experience in the specific office automation environment required (e.g., JCON 2a, MS Word Office 12/Microsoft Office 2003 and 2007). 
  • High school diploma OR GED required. 
  • Excellent interpersonal skills required
  • Ability to work independently in a team environment.  
  • Ability to multi-task and work in a fast paced environment.
  • Should be expert user of the Government's office and network environment, including but not limited to, word processing, spreadsheet, imaging, and hardware systems.
  • Proficient in Microsoft Office software programs (i.e., Word, Excel, Outlook), Adobe Acrobat Professional OR similar applications.
  • Knowledge of and skill in the use of common office hardware, including personal computers, electronic media duplicators, scanners, facsimile machines, photocopiers, multifunction printers, telephones and similar equipment.
  • Must work well under pressure. 
  • Must be able to type at a minimum rate of 65 wpm with an accuracy rate of 95%. 
  • Ability to work and interact professionally and effectively with all levels of staff. 
  • Ability to meet established deadlines and work as a team player in a professional office. 
  • Demonstrated ability to review a wide variety of documents, both legal and non-legal documents.
  • Attention to detail.
  • Some walking, standing, bending and carrying of small office items.
  • Ability to obtain a security clearance (Public Trust Clearance).
  • Must be a U.S. Citizen.

Preferred/Desired Qualifications:

  • Experience working in a Government and/or Litigation Support environment in conjunction with basic qualifications, preferred.
  • Undergraduate degree, strongly preferred.
  • Experience assisting high-level executives, strongly preferred.
  • Litigation support experience, preferred.
  • Current or active clearance.
