The Government Assistant Secretary for Preparedness and Response (ASPR) - Strategic National Stockpile (SNS) Group currently has an opening for a Documentation Control - Data Entry Specialist to work in our Atlanta, GA office. This is an opportunity to provide data support services and administrative support to assist in operating and maintaining the SNS inventory. Must be local to the area, 100% telecommute now, 2 of 5 days post covid.
1. Provide knowledge in financial management systems and computer data entry.
2. Have knowledge of Microsoft Office suite of applications to maintain data accuracy.
3. Establish and maintain supporting documentation of files and other documents to support new or current formats, procedures and programs.
4. Coordinate communications and interactions with division CORs and payment organization to resolve issues and errors.
5. Assume responsibilities of the Data Entry to include verification of pertinent invoice data prior to submission into financial system.
6. Understand and execute invoice submission in order to meet prompt pay requirements.
7. Prepare recurring and customized reports.
8. Apply comprehensive knowledge of the invoice submission and payment process in order to research issues and errors.
9. Analyze invoice payment process and provide recommendations for improvement and efficiency.
10. Have the ability to perform and respond to emergency situations within a 90 minute timeframe.
Communicate relevant and accurate information, clearly and concisely during formal or informal meetings. Collaborate with others to accomplish goals. Knowledge of procedures for use of various standard office equipment such as telecommunications, faxes, copiers, manual or automated files
Basic foundation of administrative concepts, principles and practices sufficient to perform independently duties involving eliminating conflict and duplication of work

Strong relationship-building and diplomacy skills
Broad knowledge of the mission, function and practices of Department of Health and Human Services, Department of Homeland Security, and Centers for Disease Control and Prevention preferred
Knowledge of the regulations, policies and procedures outlines in the Federal Response Plan preferred
Exercise initiative and independent judgment in resolving problems encountered during the completions of assignments
Ability to efficiently plan, organize, and coordinate a variety of activities

During disaster response and recovery phases of disaster management, be able to function for prolonged periods of time under austere, and highly stressful conditions
Employee may be assigned to a call schedule which will limit travel and may result in short notice recall to an assigned work area for prolonged period of time
Physically able to perform occasional strenuous activities, including ability to lift, push, pull, and carry up to 50 lbs during site visits and deployments
Ensure professional appearance, and good working relationships are established and maintained with officials and other key contacts to promote effective emergency response and coordination
Work effectively under the pressure of interruptions, short suspense deadlines, and unanticipated priority demands
Bachelors with 3 years of experience or 7 years of experience in lieu of degree.
Must be able to perform data entry transactions in inventory management system (s).
Must be able to compose analytical report (s), and perform research analysis (Quality Assurance, Audits, and Discrepancies).
Strong understanding and capabilities in utilizing naming and numbering conventions for receiving, shipping, recording, filing, transferring, transmitting, retrieving and archiving document (s).
Must have the ability to work handle request (s) from multiple groups/organizations
Must be able to identify error (s), problem (s), or non-standard situations and suggest alternative (s).
Must be proficient in common software, particularly with Microsoft Office: Excel, Word, and PowerPoint.
Experience with providing Customer Service
Must possess character traits of being accurate, meticulous, proactive, efficient, self-organizing, a team player.
Must be able to obtain Level 5 Public Trust Clearance.
US Citizen or Green Card Holder status is required.
Previous experience supporting government agencies. Oracle knowledge is a plus.
