Leidos’ Government Health & Safety Solution Group in Windsor Mill, MD (Baltimore) in support of the End-User Centric IT Support (ECIS) Contract for the Centers for Medicare and Medicaid Services (CMS), is looking to improve and advance the organization by adding a Traffic Coordinator to our Communications, Knowledge, and Training Team. Our program is focused on the delivery of end-user centric IT technology solutions through a streamlined and seamless development, implementation, and communication experience.
The ideal candidate for the Traffic Coordinator position brings experience and enthusiasm to shape, grow and develop this new role. Role requirements include but are not limited to tracking, scheduling and driving the focus on a variety of communication and other creative tasks, initiatives and projects for the team from intake to early briefing through production and implementation. The role includes understanding, identifying, planning, coordinating, and tracking communication, marketing and other creative deliverables and schedules, monitoring and communicating workflows. This includes reviews and approvals, disseminating communications reports and updates, creating and integrating schedules for timely delivery of communication tasks, initiatives and materials, and identifying potential communication blockers, all while offering excellence, teamwork, and new ideas to the Communications, Knowledge, and Training team, the ECIS program, our customer and end-user.
This position will play an instrumental role in the administration and facilitation of communication workflows, coordination of communication tasks and timelines, review and approval processes within an overall project planning system in the program.
The candidate must be able to work well within a team and be comfortable in a fast-paced environment, building and responding to both short and long-term projects, deliverables, and plans. This role will have direct contact with key customer stakeholder contacts and groups.
This position is part of a multidisciplinary communications, knowledge, and training team, which includes technical and content writers, as well as team leads for technical and content writing, visual and graphic design, and knowledge management. The team also includes a multimedia videographer, knowledge writers, a training specialist, and a business analyst, including documentation and 508 compliance efforts.
Collaboration with others across the in-house program team is critical, including with project managers, IT specialists and engineers, procurement, document and quality control, service delivery and service desk, and web developers. This position includes working with the customer, internal program team members, subject matter experts, and other program partners and contractors.
A customer service mindset and approach, attention to detail, strong organization, and can-do problem solving attitude are critical.
Under the direction of the Sr. Manager, Communications, Knowledge and Training, your responsibilities will include, but will not be limited to:
⦁ Administers a variety of project systems including through the Agile (Jira and Confluence) system, manual reports and spreadsheets, and other transformative digital communication channels;
⦁ Participates in and coordinate briefing meetings, workflows, deliverables, deadlines for an integrated communications campaign with communication leads and others from start to finish, including creating and managing the plan for review, scheduling and implementation;
⦁ Maintains a schedule and timeline of communication efforts including short and longer team deadlines, interim milestones and individual tasks so that the team, program and customer can easily view and assess big picture as well as immediate goals and deadlines;
⦁ Identifies opportunities to adjust and revise communications and project processes in order to increase efficiency, effectiveness, customer and end-user impact;
⦁ Conducts outreach when needed to ensure staff is aware of upcoming deadlines;
⦁ Prepares daily priority lists, weekly project status reports, and project budgets;
⦁ Tracks and updates project statuses;
⦁ Develops work schedules for various teams to ensure that communications and projects remain on schedule;
⦁ Communicates potential problems to project teams and leadership and recommending solutions;
⦁ Creates timelines, instructions, and breakdowns for future projects;
⦁ Informs project teams of any changes if and when they occur;
⦁ Performs other related duties as needed and assigned.
⦁ Bachelor’s degree in communications, business management, or related field;
⦁ 4+ years of experience in communications, business management, project management, or related discipline;
⦁ Outstanding organizational, project and time management skills;
⦁ Proven traffic coordination, process workflow coordination, communication/marketing/creative process coordination, timelines and scheduling experience;
⦁ Ability to create, assess, implement, modify and communicate communication and creative process workflows, review and approval processes, coordination and scheduling;
⦁ Ability to coordinate and integrate communications tasks, initiatives, projects, both within the team and across the program;
⦁ Experience creating and coordinating regular reports including status updates, schedules and other key metrics for monitoring, tracking and evaluating communications success;
- Consult with relevant information sources, including research, technical documents, and client and project personnel, to obtain background information, and verify pertinent guidelines and regulations governing communication deliverables;
- Support and advance communication processes, guidelines and standard procedures including document management, review and approval processes and quality control;
- Work closely with other team members to ensure quality product, integrated workflows, standards and processes internally and with the customer;
- Provide input and coordinate parts of content strategy, processes and trends to keep work cutting-edge for the customer group and end-user;
Ensure documents meet editorial and government specifications and adhere to standards for quality, content, format and style including meeting 508 compliance;
- Develop and maintain positive working relationship with team members, customer and product owners;

⦁ Ability to obtain a public trust clearance;
⦁ Knowledge and experience with various documentation and project management tools, including Microsoft Office Suite, Adobe Creative Cloud.
⦁ Ability to work to 508 compliance
⦁ Experience working with agile project management, including in Jira and Confluence environments
⦁ Experience in a similar working environment helpful but not required as new thinking, experience, and ideas from other industries or work environments is considered a plus
