The Government Health and Safety Solutions Operation is seeking a Documentation Control - Data Entry Specialist in Atlanta, GA to support The Government Assistant Secretary for Preparedness and Response (ASPR) - Strategic National Stockpile (SNS) Group.
This is an opportunity to provide data support services and administrative support to assist in operating and maintaining the SNS inventory. In this mission we ensure that our customer inventory is ready for deployment, providing them the ability to respond during an emergency. Successful candidate will provide Documentation Control, Data Entry and Supply Chain management to facilitate Government –Contractor operational support and to maintain a high level of performance.
1. Provide knowledge in financial management systems and computer data entry.
2. Have knowledge of Microsoft Office suite of applications to maintain data accuracy.
3. Establish and maintain supporting documentation of files and other documents to support new or current formats, procedures and programs.
4. Coordinate communications and interactions with division CORs and payment organization to resolve issues and errors.
5. Assume responsibilities of the Data Entry to include verification of pertinent invoice data prior to submission into financial system.
6. Understand and execute invoice submission in order to meet prompt pay requirements.
7. Prepare recurring and customized reports.
8. Apply comprehensive knowledge of the invoice submission and payment process in order to research issues and errors.
9. Analyze invoice payment process and provide recommendations for improvement and efficiency.
10. Have the ability to perform and respond to emergency situations within a 90 minute timeframe.

Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.

The following subtask is in support of the OD & PPA Branch of SNS as well as ASPR ORM
Knowledge of procedures for use of various standard office equipment such as telecommunications, faxes, copiers, manual or automated files
Basic foundation of administrative concepts, principles and practices sufficient to perform independently duties involving eliminating conflict and duplication of work
The ability to work both independently and as a team member
Strong relationship-building and diplomacy skills
Broad knowledge of the mission, function and practices of Department of Health and Human Services, Department of Homeland Security, and Assistant Secretary Preparedness and Response preferred
Knowledge of the regulations, policies and procedures outlines in the Federal Response Plan preferred
Exercise initiative and independent judgment in resolving problems encountered during the completions of assignments
Ability to efficiently plan, organize, and coordinate a variety of activities
Ability to communicate effectively, both written and oral
Strong analytical and problem solving skills

Carry (and respond to) a cellphone at all times
During disaster response and recovery phases of disaster management, be able to function for prolonged periods of time under austere, and highly stressful conditions
Employee may be assigned to a call schedule which will limit travel and may result in short notice recall to an assigned work area for prolonged period of time
Ensure professional appearance, and good working relationships are established and maintained with officials and other key contacts to promote effective emergency response and coordination
Work effectively under the pressure of interruptions, short suspense deadlines, and unanticipated priority demands
high school diploma or equivalent and 2 – 4 years of prior relevant experience
Must be able to perform data entry transactions in inventory management system (s).
Must be able to compose analytical report (s), and perform research analysis (Quality Assurance, Audits, and Discrepancies).
Strong understanding and capabilities in utilizing naming and numbering conventions for receiving, shipping, recording, filing, transferring, transmitting, retrieving and archiving document (s).
Must have the ability to work handle request (s) from multiple groups/organizations
Must be able to identify error (s), problem (s), or non-standard situations and suggest alternative (s).
Must be proficient in common software, particularly with Microsoft Office: Excel, Word, and PowerPoint.
Experience with providing Customer Service
Must possess character traits of being accurate, meticulous, proactive, efficient, self-organizing, a team player.
Previous experience supporting government agencies.
