Job Description:

The Project Specialist will support the ITEMS UFS Project Management Office (PMO) and be responsible for to ensure that the team delivers and executes all contractual responsibilities outlined in the PWS for Procurement, IT Services, Maintenance Agreements timely, accurately, and within budget requests to the customer. The individual will be part of the proposal and review process for Task Order updates and changes. Once the task orders, CRQs, or SCORE cards are on contract, this position is to ensure that procurement activities are executed, tracked, and delivered timely. 

Duties include but are not limited to:

  • Cost Account Management of material procurement averaging $20M for the customer to include managing budgets by reviewing and obtaining approval for cost deltas.

  • Compiling data from multiple internal and external resources, in diverse systems, and in different software.

  • Organizing, monitoring, analyzing, reporting, and communicating to the customer regularly based on the project CLIN/SLIN and customer funding documents.

  • Assess lessons learned and provide recommendations on process changes as necessary.

  • Provide recommendations on next steps (when required).

  • Maintaining the complex and robust excel files by creating and updating formulas to ensure that all necessary updates were properly consolidated from the Trackers/ repositories.

  • Coordinate with Leidos Shared Services and Program project managers to close out requirement changes as necessary via phone and email.

  • Brief the Government Program Management Office on status of projects, procurement activities, and costs data as required.

  • Regular presentations including analysis of the data to highlights trends, process improvements, issues, and recommendation to the government for each CLIN/SLIN.

  • Ad hoc admin duties as needed assigned by the Program Management Office, defined by the manager when they arise.

  • Ad hoc duties occur frequently in this position, therefore, flexibility and being open to taking on tasks outside their wheelhouse in support of the Program and the mission is important.

  • Act in a leadership role when reviewing and approving all purchases from the Asset Management Team. Provide coaching and feedback for inaccurate data.

Overseeing and monitoring the use of the PROVM Database by:

  • Training project managers with procurement and tracking of IT hardware assets utilizing the central tracking database, ProVM. 

  • Review and Run reports and quality control checks in the inventory tool that the warehouse team enters into ProVM for accuracy (QC Data checks).

  • Train new users on how to use ProVM.

The successful candidate will be:

  • Flexible with assignments.

  • Ensure all action items are closed timely and accurately, and be willing to learn every day. 

  • Be open to short term ad hoc admin assignments as assigned by direct management, provide correct status of open action items, and close action items timely. 

Required Qualifications:

  • Strong data management skills in tools such as Microsoft Excel and Access.

  • Data Analysis and the ability to find trends, issues, and process improvements.

  • Demonstrated ability to communicate successfully with internal and external stakeholders.

  • Strong analytical skills with attention to detail.

  • Be creative, flexible, and a team player.

  • Strong planning and organizational skills.

  • Demonstrated ability to consistently produce excellent results in a complex environment

  • Can-do and Pro-active approach and the ability to understand the business, identify issues and develop relationships.

  • Organization is key in this role as individuals are responsible for tracking open action items, and reporting them daily to the team lead.

  • Ability to work effectively and efficiently in a fast pace environment

  • Bachelor’s degree.

  • 2 years of prior experience within logistics or any equivalent TS-SCI program

  • Candidate must obtain a TS/SCI w Poly

Preferred Qualifications:

  • 1-4 years of prior experience in warehouse operations and inventory management

  • 1-4 years in any equivalent TS-SCI program

  • Knowledge of ITSM ticket systems (i.e. ServiceNow and reporting functionality)

  • Familiarity with CostPoint is desired but not required.

  • Basic computer skills to include the use of data base systems and MS Office

  • 2 years of prior experience within logistics or any equivalent TS-SCI program

  • Candidate already has an active TS/SCI with ability to obtain Poly.


  • 10% Local Travel.  Travel is primarily local during the business day to multiple site locations.

Education & Experience:

  • Requires Bachelors Degree or equivalent experience and less than 2 years prior relevant experience.

  • Experience in lieu of degree
