The Spatial Solutions Division is seeking an Executive Administrative Assistant to provide support to the Division Manager. We are seeking someone who is an exceptional communicator, self-starter, and has the ability to manage multiple tasks. As an integral member of the Spatial Solutions team, this role will interact daily with all levels of staff as well as senior leadership at our Division, Group and Corporate levels. This position requires an experienced person with demonstrated office management expertise, professional demeanor and the ability to learn and accomplish a wide variety of day-to-day responsibilities in support of the Division.
The successful candidate should be willing to work onsite in Springfield, VA, Chantilly, VA or Reston, VA but the role will have some remote opportunities.
Primary Responsibilities
Performing a broad range of administrative duties in support of the Division to include:
• Managing the calendar and appointments for the Division Manager
• Scheduling and coordinating in-person and virtual team meetings and conference calls,
• Preparation of business travel arrangements and expense reports
• Assisting with presentation preparation
• Assisting with coordination Spatial Solutions Employee Engagement Events
• Coordinating with the IT and Facilities departments for issue resolution as well as office space assignments
• Greeting and escorting visitors
• Coordinating catering orders, and ordering computers and supplies
• PCARD Administrator
• Content Management of our Divisional Website/Newsletter/Book Club/Engagement Activities/Facility Lead/etc
Required Education, Skills. and Experience
A minimum of a high school diploma and 5+ years of prior relevant experience
Previous experience supporting senior level managers
Excellent command and use of the MS Office, to include Outlook, Word, Excel and PowerPoint. Strong knowledge of SharePoint.
Must possess strong organizational skills, be able to multi-task in a fast-paced, complex environment with multiple competing priorities.
Must be responsive and work with a sense of urgency.
Ethical behavior and the ability to be trusted with confidential data and other corporate matters are critical.
Must be able to communicate effectively and professionally, verbally and in writing, to employees and managers of all levels, to include senior and executive-level management.
Provide support to multiple senior level staff.
Manage schedules, coordinate meetings, plan and process travel, work in concert with other administrative and project support staff.
Key Traits: Solid organizational skills, positive and friendly demeanor, excellent interpersonal skills, positive outlook and flexibility in a highly dynamic environment, sensitivity to corporate confidential matters.
US citizenship is required and ability to obtain a security clearance.
Preferred Qualifications
Preference for candidates with a Secret Clearance or higher.
Associate or Bachelor’s degree desired
Familiarity with: CostPoint, Deltek, Fusion, and Workday
Pay Range:
Pay Range $60,450.00 - $93,000.00 - $125,550.00Covid Guidance
